Village of Alsip Committee of the Whole met Sept. 7.

Here are the minutes provided by the committee:

Trustee McLawhorn called the meeting to order at 6:31p.m. Trustee McLawhorn called the roll with the following in attendance: Trustees Dalzell, McLawhorn, Murphy, Perretta, Juarez, Mayor Ryan, and Clerk Harding. Trustee Nava- Esparza entered at 6:35 p.m.

\Mayor Ryan started a zoom call from Melanie Phillips with Taylor Made Property Services. Melanie discussed the reasons why Taylor Made would be the best option for the Village of Alsip. These reasons included that they value long term relationships, they thing that they are a good fit with the Village and they are flexible; if something is working now then try to incorporate how it is already done with ways that they currently manage. Transition time would be approximately 90-120 days and they are known for their excellent service. They have 40 employees in the Chicagoland area and would staff Heritage I and II with 4 employees for office staff( total between the two buildings) and would recertify our current maintenance staff about keeping them on. Mayor Ryan asked if their price was just the 5% on rents or if there were any additional fees for any special projects or any upcharges. Melanie said it was 5% on just rents collected per month, no other fees. If there were big projects that would be discussed and if they needed extra help. Dale was also present; he oversees projects at complexes with maintenance and construction projects.

Mayor Ryan started a zoom call from Ken Houbolt with HRE Management; which is located in Oak Lawn and has been in business since 1991. There are 9 employees in the Oak Lawn office. Their fee would be 6% of all rents and no fees for anything else. Transition time would be approximately 2 weeks to be up and running and will make adjustments as needed. They will interview the current employees and keep them on if they see fit. Ken stated they are here to serve the Village and work with our management team and keep things as much of the same as possible. They work with commercial and residential properties. Mayor Ryan asked how they would best advertise to fill vacancies and Ken stated that they would post online, send post cards, market within the Village and outside the Village, and list on MLS.

After the zoom calls there was board discussion. Mayor Ryan discussed if the management should be done in house or if we should have a management company do it. Rodger Early agreed that a management company would be a good buffer between the Village and the residents. He also stated that with Rodger Smith retiring in April they are short staffed and they will have both of their cleaners out from September 16, 2021 until December or January so having the management company will relieve the stress of having less staff on hand.

They will put this up for vote at next week's Special Board Meeting.

ADJOURNMENT: Motion by Trustee Juarez to adjourn and; seconded by Trustee Murphy. All in favor; none opposed. Motion carried. Meeting adjourned at 7:26 pm.
