Village of Olympia Fields Beautification Committee met May 16.

Here are the minutes provided by the committee:

The meeting was called to order at 5:40 p.m. at Village Hall. Hereafter, BC meetings will be held in the conference room at Public Works.

Agenda:

⮚ Roll Call – Arlene B., Susan G., Susan M., Belinda L., Edward D., Terence A., Sandra F.

⮚ Minutes – Minutes were approved with one addition: Branch pick up is the 1st and 3rd Tuesdays for the east side of Olympia Fields and the 2nd and 4th Tuesdays for the west side.

⮚ Village/Budget Update – Sandra Finley

o Our total budget which includes maintenance and projects is $56,000.

⮚ Public Works Update – Terence Acquah

o The least expensive quote for BC sign replacements is $10,000 for 45 signs. This is more than expected for this expense. Discussion ensued regarding options:

∙ Purchase half this year and half next year

∙ Purchase 27 for this year as only 9 of the 12 subdivisions tend to participate in the award programs. Purchase the rest and 1st, 2nd, 3rd place signs next year. Use old signs if more than 9 subdivisions participate.

∙ Trustee Finley will check with Jim Landini to see if there are other options available in the budget.

o DJ/K‐Lee has been given approval to make improvements to the island next to village hall. This includes the removal of current plants.

o The maintenance contract for the village will be shared by Calvin Jordan and DJ/K‐Lee. Details will be worked out over the next month.

Unfinished Business

⮚ Green Committee updates – Susan G.

o New recycling info sheets are available. The Park District is sponsoring a community shredding event at The Barn on May 21st. The next meeting is Monday, May 23rd.

⮚ Tree Ordinance (Section 106 updated) – S. Finley/Burke

o Per the village attorney, fees cannot be changed because we are a “Non‐Home Rule” town.

⮚ Vollmer Road/Commissioner Sims – A. Burke

o No response has been received from Debra Sims office probably because she is not seeking re‐ election and we are in campaign season.

⮚ Spring cleanup April 30th – E. Davis

o The event was a success despite the rain. We had 12 volunteers. Areas on Kedzie, near the post office, Walgreens and Western were cleared. Pictures have been sent to Naomi for the website.

⮚ Arbor Day celebration April 29th – A. Burke

o The Bur Oak tree was planted in a park in Graymoor where the annual celebration was held. The Graymoor HOA also planted an additional 14 trees in honor of Arbor Day. Photos were sent to Naomi for posting on the website.

⮚ 50/50 tree program update – Belinda L.

o The Village of Homewood purchases trees and makes them available for residents to pick up and plant. Extras are planted in common areas in the city. Possibility Place is a tree wholesaler with trees available starting at $65 for a 10‐gallon size. We will look at using them for our program. Belinda will check to see if they deliver. Changes to our current program are still be evaluated.

New Business

⮚ Landscape Awards

o Viewing will take place the week of July 13th. Letters will be updated and send to HOA presidents by June 20th. Nominations are due by June 30th

⮚ BC Grants 2022

o Arlene will verify this is in the budget before sending out notifications to the HOA presidents.

⮚ Tree topping issues are occurring again.

o Susan M. will provide addresses of offenders for letters to be sent.

o The BC will address the issues again in a village newsletter.
